Stop Rebuilding Your Coaching View: Saved Filters and Scheduled Reports in Ambition

If you coach a team of any size, the Sessions page fills up fast. Every check-in, program, and template adds another layer of data, and finding the slice you need can mean clicking through the same filters week after week.
There's a better way. With Saved Filters and scheduled coaching reports, you define the view you need once. After that, you can return to it in one click, or have it land in your inbox on a schedule.
Why it works
Regular review usually gets skipped because of the setup, not the review itself. When a view is one click away, checking it becomes routine instead of a task.
Saved Filters keep everyone on the same page. When a team uses the same filter, they're looking at one consistent definition of the data, so there's no debate about what "completed" or "in the program" means.
Scheduled reports carry that visibility beyond the platform:
- Offline review. The export includes agenda items and responses, so you can dig into the substance of coaching conversations, not just whether they happened.
- Wider sharing. Stakeholders without an Ambition license can still get the data.
- Easy monitoring. You get a simple, recurring way to track coaching completion across teams or programs.
Let the data come to you with scheduled coaching reports. A saved filter saves you clicks. A scheduled coaching report saves you from having to remember to look at all.
This workflow sends the results of a saved filter to email inboxes on a recurring schedule. Each report arrives as a downloadable .xlsx file that includes agenda items and responses, not just session records.
- You choose the frequency that fits your review rhythm.
- You choose the recipients, and they can be licensed or unlicensed Ambition users.
- Permissions: creating the workflow requires Workflows: Create or Workflows: All Access.
- Limit: each report can include up to 20,000 check-ins.
Build your view once with Saved Filters
Every scheduled report starts with a saved filter. Here's how to build one.
Saved Filters are available to everyone. No special permission is needed to create one.
- Go to Coach → Sessions.
- Click the filter icon in the upper right.
- In the Filter View tab, combine criteria from any of these categories:
- Details: Status, Type, Source, Imported, Template
- Participants: Manager, Employee, Co-Coach, Group
- Dates: Start, Due, and Meeting Date ranges
- Source: Program, Managed Program, Cadence
- When the view looks right, click + New Saved Filter, give it a clear name, and save it.
- Find it anytime under the Saved tab for one-click access.
Want to start over without saving? Click Clear to reset your criteria.
Example: A manager combines a Program, a Group, and a Status to see every session in one coaching program for their team. Saved as "West Region – Onboarding Program," that view is now one click away.
A note on the Scheduled status: it shows only upcoming one-off sessions. Recurring sessions and program-generated sessions won't appear as Scheduled. Once their Open Date passes, they show as Due.
Try it this week
Start small, with the view you rebuild most often.
- Open Coach → Sessions and apply the filters for that view.
- Save it with a descriptive name, like "West Region – Onboarding Program."
- Use it for a week.
- If you find yourself checking it on a regular rhythm, and you have the required permissions, turn it into a scheduled coaching report so the data arrives in your inbox automatically.
Define it once, and let the view do the work from there.
